How to start taking online bookings as an Australian freelancer

A step-by-step path from booking over messages to a booking page that works while you do, including what to decide before you pick any software.

Most freelancers start taking bookings the same way: a message arrives, you check a calendar, you suggest two times, they take one, you write it down. It is friendly and it works. It also means every booking costs you several messages and some attention, and it stops working the week you are busiest. Online booking replaces that exchange with a page where the client chooses from the times you have already decided are free.

Decide these four things first

  1. What you sell, as a short list. A booking page needs services with a name, a duration and a price. If your work is usually quoted, pick the two or three standard offers you can price up front and keep bespoke work as an enquiry.
  2. When you work. Not when you could work: when you want bookings to land. A bookable week is often shorter than a working week, with admin time kept out of it.
  3. What a booking costs the client up front. A deposit, the full amount, or nothing until the day. Deposits reduce no-shows; no payment reduces friction for first-time clients.
  4. Your rules in plain words. Cancellation notice, what happens to a deposit, and how far ahead you take bookings. Clients accept rules they can read; they resent rules they discover afterwards.

Set up the booking page

Whatever software you use, the setup is the same shape. Add your services with durations and prices. Set your weekly hours, then add a buffer between bookings if you need travel or reset time, a minimum notice so no one books your next hour, and a horizon so you are not committed months out. Connect a payment method if you are taking deposits. Write your cancellation terms where clients will see them before they book, not after.

Then test it as a client. Book yourself from your phone, pay a small deposit if you have one, and read the confirmation. If any step made you hesitate, it will make a client hesitate.

Launch with one link

The quickest win is replacing your written reply with a link. Put it in your social bio, your email signature, your voicemail and your reply to every enquiry. If someone messages you for a time, answer with the link and a sentence: "Pick whatever suits from here and it is locked in." Most clients prefer it; they can book at 10pm without feeling they are bothering you.

What to expect in the first month

  • Fewer messages per booking, and bookings arriving outside your working hours.
  • A couple of clients who still message. That is fine; book them in yourself and send the link next time.
  • At least one change to your availability once you see where bookings land.
  • Clearer records: who booked, what they paid and when, without a notebook.
